Renting and Using a Room
Rooms are available to rent at the Main Library, John M. Harper Branch and Eastside Branch.
- Renters cannot accept payment from participants onsite at the library. However, pre-registered, fee-based programs are permitted.
- No products, services or memberships may be advertised, solicited, or sold.
- Non-profit rates will only be applied if a renter can provide the charitable business or organization number when submitting a room rental request.
- Fundraising activities may not be held in Library meeting rooms.
- We do not promote events we are not affiliated with.
- Renters are responsible for their own set-up and take-down of meeting rooms.
- The occupancy limits of meeting rooms must be observed at all times.
- Only Library equipment may be used to connect to the cabled network.
- Renters are responsible for ensuring the space they rent has sufficient technology for their needs, no additional IT resources will be provided in rental spaces.
Important Room Rental Information
Library facilities are available on a non-discriminatory, equal access basis. Activities held in Library meeting rooms must comply with all applicable local, provincial and federal laws, including City of Waterloo By-laws, the Ontario Human Rights Code and the Criminal Code of Canada.
Five days notice is required to reserve a room. Rentals may be booked a maximum of two months in advance. Cancellations are required at least 48 hours in advance of the event in order to receive a refund or rebook a space.
